Who we are
Dowelify is a product made and operated by Reachability Labs LLC in Colorado, United States. It is an invitation-only pilot for keeping observations, evidence, measurements, sources, decisions, actions, and outcomes together in a durable record called a Job.

What we collect
Invitation and account information
When you request an invitation, we collect your email address, how you describe your role, what you work on, and any optional company, referral, or connector-interest information you provide. If you enroll, we also maintain your invitation, account, signed session, and any display name you choose.
Job content
A Job contains what its participants deliberately add: written observations, measurements, documents, sources, decisions, actions, outcomes, and bounded media references where a supported operation creates them. Contributions carry their producer and time so the basis of the work remains visible. Durable private photo and recorded-video storage are not enabled for public use.
Location, only when you choose it
You may save a general area to improve nearby-help features. Precise location is recorded only after an explicit request. It is not silently attached to every Job or automatically sent to an AI provider.
Operational information
We process limited request, sign-in, error, delivery, and security information needed to operate and protect the pilot. The invitation form uses an anti-abuse check, but Dowelify does not keep the challenge token as part of your invitation application.
How we use information
- Evaluate and respond to invitation requests.
- Provide, maintain, secure, and troubleshoot Dowelify.
- Keep authorized Job participants registered to the same record.
- Generate AI responses for the operation a user starts.
- Communicate about the pilot, policy changes, and support requests.
- Meet legal obligations and investigate misuse or security incidents.
What we do not do: sell personal information, run targeted advertising, or use private Job content to train general-purpose models without a separate explicit opt-in.
How AI is involved
Dowelify currently uses the OpenAI API. For a model-assisted operation, Dowelify sends the parts of the conversation and Job needed to answer the request—not a standing copy of every Job.
Dowelify configures these API requests with store: false. OpenAI states that API inputs and outputs are not used to train its models by default. The provider may still retain limited information for security and abuse monitoring or where law requires it. Dowelify does not claim Zero Data Retention.
A process-only photo is sent to the model only when you start a supported operation that needs it; its raw bytes are not retained by that path. Recorded video processing and durable private-media storage are not enabled for public use.
Sharing and service providers
Participants you invite into a Job can see its content according to their role, and contributions are associated with their producer. We otherwise disclose information only to service providers needed to operate Dowelify, when you direct us to, or when law requires it.
Service providers process information for their contracted purpose; they do not receive authority to perform or approve physical work on your behalf.
Retention and deletion
Invitation applications
We retain an invitation application for no more than 180 days. We delete it sooner if you withdraw, we decline the request, or the necessary information has been transferred into the account-enrollment system.
Accounts and Jobs
We retain pilot Case and Job history while the pilot is active and for 90 days after the pilot closes so 30-day outcomes can be reconciled. Job events are append-preserved: a correction adds a superseding entry instead of silently rewriting what came before.
After verifying a deletion request, we handle it as a documented administrative operation. If a Job has other participants, deletion may require preserving bounded contributions needed to keep their record coherent. We explain what can be removed, what must remain, and the applicable timing before completing the request.
Provider security, abuse-monitoring, and recovery systems may retain limited copies for their own published retention periods. Deleted information is not returned to active product use.
Your choices and privacy requests
Email privacy@dowelify.com to access, export, correct, withdraw an invitation application, or delete your information. Corrections to a Job use a visible superseding entry so the record is not silently rewritten.
We acknowledge a verified request within three business days and complete it within 30 calendar days. During the pilot, an export or deletion may be prepared and verified manually rather than through a self-service account control.
Children and policy changes
Dowelify is not directed to, and may not be used by, anyone under 18.
If this policy changes materially, we will post the updated policy with a new effective date and notify enrolled pilot users through the contact information associated with their account.
